Who this notice covers
This notice covers everyone who deals with Northlicense:
- creators who submit a clip or sign a creator agreement with us
- buyers who license our clips, and their staff
- visitors to our website
- people who appear in the clips we license
What we collect
Creators. Your name, email and country. Your social handles. A record of your signature, including the IP address, browser and time it was made. The answers you give on the signing page. The original file you upload and copies of the clip. Your statements and earnings ledger. A reference to your payout method and the status of your tax form. Emails between us and you.
Buyers. Your account email, company name, orders, invoices and licences. Payment references from Stripe. We do not see or store your card details.
Visitors. An essential cookie that keeps your session working. If you start uploading a clip, a resume handle is kept in your browser so you can pick up where you left off. Standard server logs (IP address, browser, pages requested).
People who appear in clips. The footage itself, and, where a creator or a buyer gives it to us, contact details for a specific use.
Where we get it
Mostly from you, directly. When we research who filmed a clip, we look at public social media posts and public profile information. We also get payment and delivery confirmations from our payment and email providers.
Why we use it, and on what basis
To run the agreement we have with you (creator contract, buyer order): signing, paying you, delivering a licence. To meet legal obligations: tax, anti-money-laundering, and responding to lawful requests. For our legitimate interests: finding and contacting the person who filmed a public clip, checking a clip has not already been sold elsewhere, and preventing fraud. Where we ask for it, on the basis of your consent, which you can withdraw at any time.
Who we share it with
- our hosting and database providers, based in the United States
- Stripe, for buyer payments
- Resend, to send our emails
- Google Workspace, for our mailboxes
- PayPal or Wise, to pay creators
- data lookup providers we use to research public profiles when identifying a filmer
- Content ID partners, for clips under an exclusive agreement
- buyers, who see only the credit a creator chooses to show, and contact details only if the creator agreed to share them
- authorities, where the law requires it
We do not sell your data, and we do not use creator footage to train AI models.
International transfers
Citrex Media FZCO is based in the UAE, and our systems run in the United States, so your data leaves the country you are in. Where we transfer personal data from the EU or UK, we rely on standard contractual clauses.
How long we keep it
For creators, we keep contract, ledger and tax records for the term of the agreement plus 6 years. We keep the signature record and the clip fingerprint for longer than that, because it is our proof of what was agreed and it stops us from ever re-claiming a clip that has already been released.
If we research who filmed a public clip and that person never signs with us, we delete our notes about them after 12 months, or sooner if they ask us to.
Server logs are kept for 90 days.
Your rights
You can ask us what we hold about you, ask us to correct it, ask us to delete it, object to how we use it (including to being contacted as part of our research into who filmed a clip), ask for a copy in a portable format, and withdraw any consent you gave us. Email privacy@northlicense.com and we will reply within one month. You can also complain to your local data protection authority.
How we research who filmed a clip
When we want to license a clip and do not yet have a signed creator, we look at the person's public posts and public profile information to work out who they are and how to reach them. We never log into anyone's account, never get around a password or a captcha, and never buy access to private data to do this. If you do not want us to contact you, or you want us to delete the notes we made about you, tell us and we will.
Children
Northlicense is for people 18 or older, and we do not knowingly sign anyone younger. Clips that show children are still handled with care: we ask the creator whether a child appears and whether they have permission, and we will not license such a clip for advertising without a written release from a parent or guardian.
Security
We use standard technical and organisational measures to protect the data we hold, including encryption in transit, access limited to staff and contractors who need it, and regular review of who has access to what. No system is completely secure, and we will tell you if a breach puts your data at meaningful risk.
Changes to this notice
We may update this notice from time to time. Each version is dated. If we make a change that materially affects signed creators, we will email them about it.
